Who to contact

Hybrid Sally is Sally Harrison’s New Zealand-based HYROX and hybrid coaching business. For privacy questions, requests or complaints, contact Sally at [email protected] and use “Privacy” in the subject line.

Information you choose to provide

The coaching enquiry asks for your first name, email address, optional Instagram handle, training goals, experience, race plans, available training days, equipment and the support you want. You may add a short description of your current training. Please do not include medical records or sensitive health information in this initial enquiry.

After you join coaching, information needed to personalise your programme may include training feedback, performance, availability and recovery information. Sally will explain any additional information needed during onboarding, including how it will be used. Please discuss any injury or health information privately with Sally through an agreed channel.

Providing information is voluntary. You can browse without completing the enquiry. Without contact details or enough information about your goal, Sally may be unable to reply or assess how coaching could fit your needs.

How the enquiry works

Your answers remain in the current page’s browser memory. The form does not automatically submit them, send them to a website database or save them in browser storage. Refreshing or leaving the page clears the form’s answers, although your browser or email app may retain its own autofill or draft information.

Choosing “Email my answers to Sally” opens your email app with an addressed draft. You review it and send it yourself. Sally receives your answers only if you send that email. Your email provider handles the draft and transmission under its own privacy terms. You can also contact Sally directly by email or through Instagram.

Why information is used

Information should be limited to what is needed for these purposes. An enquiry is not a subscription to promotional emails. Any separate marketing subscription must be optional and provide a way to unsubscribe.

Who handles your information

Sally handles enquiries and coaching information. Services involved may include the website host, email providers, TrueCoach for coaching delivery and Meta if you contact Sally through Instagram. These providers have their own privacy terms and may process technical or account information to operate their services.

Website hosting is provided through Cloudflare Pages. The site does not currently include advertising pixels or visitor analytics configured by Hybrid Sally. Hosting services may process technical request information, such as an IP address, browser details, timestamps and pages requested, for delivery and security. Links to external services take you to their own websites.

Client photographs and testimonials are separate from private coaching records. They should only be published with the client’s permission for the intended use. Contact Sally if you want to discuss or withdraw permission for future use.

Overseas processing

Email, website hosting, Instagram and coaching technology can involve processing outside New Zealand. Information Privacy Principle 12 addresses disclosures to overseas recipients. A provider acting solely as an agent for storage or processing can be treated differently from a recipient using information for its own purposes; either way, appropriate safeguards are needed.

Before sharing personal information overseas, Hybrid Sally must assess the arrangement and use a permitted basis, such as comparable privacy safeguards. Where an arrangement needs your express, informed authorisation, Sally will explain it separately. Simply using this website does not waive your privacy rights. You can ask Sally for information about the providers used for your coaching.

Security and retention

Personal information needs reasonable safeguards against loss, misuse and unauthorised access or disclosure. This includes limiting access to people who need it and using appropriate account and device security. Email and internet communications are not risk-free, so use an agreed private channel for sensitive information.

Information should be kept only for as long as needed for the purpose it was collected, including applicable record-keeping or legal requirements, then securely deleted or de-identified. You can ask Sally about retention of your enquiry or coaching records. This statement does not promise immediate deletion where records must lawfully be retained.

Access and correction

You may ask Sally for access to your personal information or request a correction. Email [email protected]. Sally may need to verify your identity before releasing information. A decision on an access or correction request is generally required within 20 working days under the Privacy Act 2020, with extensions or refusals only where the Act allows. If a requested correction is not made, you can ask for a statement of correction to be attached to the record.

Privacy concerns and breaches

Please contact Sally first with a description of your concern and the outcome you seek. If it is not resolved, you can complain to the New Zealand Office of the Privacy Commissioner.

If a privacy breach has caused or is likely to cause serious harm, the Privacy Act requires notification to the Privacy Commissioner and affected people as soon as practicable, subject to the Act’s exceptions.

Changes to this statement

This statement will be updated when the website’s collection methods or coaching systems change. The date above shows the latest revision. Any materially different use requiring consent will be explained separately.
